Transitioning to Ambassify from another platform

Switching to a different employee advocacy platform can seem like a daunting choice, especially when you don’t have a clear view of what the dynamics of it all are going to be like. Transitioning your entire advocacy program is no easy feat, but when you have a team of experts and veterans of the job guiding you through it there is nothing to fear.

Choosing the right action plan for you

When you’re switching to Ambassify from a previous solution, there are three common scenarios:

  1. Consider it as a fresh start
  2. Transfer existing ambassadors to Ambassify
  3. Run a migration audit

Consider it as a fresh start

You should follow this path when you are new to the organization and you haven’t had a clear handover of the advocacy project and how it’s progressing. In case you are not seeing the results you hoped for with your current or previous solution — or if the program never really took off, so the number of ambassadors is very small — this is also a good place to start. 

In this situation, we recommend you follow some of these best practices:

Build an appealing internal communications plan to introduce and promote the (new) ambassador program in your company.

  • Messaging. Why are we running an employee advocacy program? What are we looking to achieve? For example, we aim to attract new talent, generate more sales, increase brand awareness, etc. 

    Why is this important for our company? Explain to your employees and future ambassadors why you need their help and support for this project.

    What’s in it for the ambassadors? Describe the advantages and benefits of being an ambassador.

  • Channels. Which online and offline channels are you going to use to spread your message? For example, intranet, newsletters, posters, TV screens, etc. 

    Make it easy for ambassadors to register with a simple registration form and a password. With Single Sign-On, the registration step can be skipped, and employees can directly access the new platform with their company credentials.

Transfer existing ambassadors to Ambassify 

You should follow this path when employees already know the drill and are comfortable in their advocacy efforts. There’s no need to reinvent the wheel; they know what’s expected, and you just have to migrate them onto a new platform. Choose this part if you are happy with the way your employees are performing as ambassadors.

In this situation, we recommend you follow some of these best practices: 

  • Assuming you have their consent, you can import existing ambassadors via CSV and send them a community invite message via email to complete their registration onto Ambassify. This way, they can be onboarded in just a few clicks.

    We also offer Single Sign-On, so all your ambassadors need to have is the URL to your new ambassador program. They can then access it securely with their company credentials, making the transition extremely seamless.

Run a migration audit

If you wish to migrate not only your ambassadors but also additional data to Ambassify, we can run a migration audit

How does that work? 

  • You deliver an export of your old platform to us
  • We look at the data and see what’s reusable and useful and what isn’t
  • We format it so that it’s importable in Ambassify (member lists, campaigns as RSS feed usable in import source, etc.).

This way, you can hit the ground running and pick everything up where you left off, so you don’t have to start with a clean slate.
